These Terms & Conditions outline how My Forever Keeps operates and what you can expect from your bespoke order. Please read through them carefully to ensure you feel fully informed before making a purchase or booking a preservation date.

What you need to know for a smooth experience.

When you place an order with My Forever Keeps, you entrust us with something deeply personal. We are honoured to preserve your flowers with the utmost care, respect, and exquisite attention to detail, creating a keepsake that captures the beauty and emotion of your special day.

Handmade Notice

Every My Forever Keeps piece is individually handcrafted. Due to the nature of resin preservation, small air bubbles may occasionally be present, including on the surface. While we take every possible step to minimise this, flowers naturally hold air pockets, making some bubbles unavoidable.

Subtle layer lines may be visible along the sides of resin pieces. These faint horizontal lines are a natural result of the casting process and do not affect the integrity of the piece.

Each piece is completely unique. Minor imperfections are an inherent part of handcrafted items and are not considered faults. Variations may include micro bubbles, tiny dust particles, uneven edges, small cavities caused by trapped air. Letters may have a slight bulge, either inward or outward, due to the weight of the resin and the size of the flowers.

The sides of resin pieces may appear less glossy than the front; this is a natural finish and not a defect.

Please note that certain letter shapes, particularly F and P, are not freestanding. The letter J is a lowercase. Full and larger flowers can cause the sides of the moulds to bulge slightly to accommodate this larger size. This is not classed as a defect, it’s simply a signature of a handmade product.
Measurements on all products may vary slightly due to the final sanding and finishing process.

We reserve the right to decline preservation of flowers that arrive damaged, heavily wilted, or otherwise unsuitable for preservation.

Resin Notice

As flowers are a natural product, some bruising or marks may only become apparent once they are set in resin. Unfortunately, this is outside our control and depends largely on how the flowers were handled before reaching us.

We use a high-quality, UV-resistant resin in all our pieces. However, it is important to note that all resin will amber over time. The rate at which this occurs depends entirely on environmental factors, particularly exposure to UV light and heat, which are outside of our control once the piece is in the client’s possession. For this reason, we cannot accept responsibility for resin that yellows or ambers over time.

All finished orders are sent with a care card outlining how to properly look after your piece.
Please keep resin items away from:

  • Direct sunlight
  • Heat sources
  • Chemicals such as perfume, polish, cleaning sprays, soaps, or solvents

Resin can be gently wiped with a slightly damp cloth if needed. As resin can scratch, avoid contact with rough or sharp surfaces.

The Drying Process and Colour Changes

All My Forever Keeps pieces are completely bespoke. By placing an order, you acknowledge and accept that flowers are a natural product that holds moisture and will change during the drying process.

As flowers dry, they may:

  • Change colour or tone
  • Darken slightly
  • Shrink in size

Some flowers preserve better than others depending on their type, age, and condition when received. White flowers are delicate and will become more cream or off white, reds will become more darker red or burgundy in colour, some flowers may have blemishes which won’t show until they go into resin and some light-coloured flowers may appear translucent in place.

We will choose the best dried flowers to have the most visual impact to make your order.

If your arrangement consists of one flower variety or you have concerns about suitability, please contact us prior to sending your flowers so we can advise.

We do not offer a touch up service for flowers that will be put in resin we do offer this service for orders of boxed flower frames. We match colours as closely as possible to the flowers. As this involves enhancing a natural product with artificial pigment, exact colour matching cannot be guaranteed.

Design Layouts

Please note we do not offer design layouts. Polly will use her own creative approach in designing a floral piece whilst taking into consideration the type of flowers and sizes of the moulds chosen.

We will always select the best dried flowers that have the most visual impact and aim to use as many flowers as possible.

In some instances, flowers may need to be deconstructed, or we may only use petals and foliage to best fit into the moulds, however this will be discussed with you.

If you have suggestions on how you would like the flowers to be placed, please add this information when you place your order and feel free to email and share photo’s/images for inspiration. We will always do our best to replicate them or incorporate your ideas into the design.

Shipping your flowers

It is the customer’s responsibility to ensure flowers are packaged and shipped correctly. Full instructions are provided and should be followed carefully to ensure flowers arrive safely and in the best possible condition.

Flowers preserve best when fresh, so we advise sending them 1–2 days after your event using Royal Mail Overnight or Guaranteed Next Day delivery.

Left Over Flowers

Once we have selected the best blooms for drying, we will dispose of any unused flowers. We do not return any unused flowers.

Sentimental Items

If you would like to add any charms, photos, jewellery or any other items to your order please add a note at the time of placing the order and specify what you would like to add to your order with clear measurements of the item(s). We will check to see if they will fit in the mould or shape you have chosen.

It is the customer’s responsibility to place any sentimental items in a separate envelope, clearly labelled ‘Sentimental Items,’ before including them in the same box as your flowers, as these can be easily overlooked.

We do not take any responsibility for any sentimental items that have not been clearly packaged separately with you flowers and are missed or are lost in the post.

Photographs are sealed and laminated before being embedded in resin. While every care is taken, there may occasionally be a small section that does not laminate fully, which may only become apparent once placed in the resin. This can create a subtle shadow on the image. Such occurrences are not considered defects and are part of the handmade production process; they do not qualify for a refund.

Frames

Frames are not manufactured in-house and are made to order by a professional framing company. Frames are personalised using vinyl lettering, with names and dates created in resin. To ensure all lettering is positioned centrally, we lightly mark the card during the layout process. In some cases, these markings may be visible upon close inspection. This is not a defect but a natural part of the handmade process.

We recommend that all framed bouquet pieces are carefully checked upon arrival. Any issues must be reported within 24 hours of the dispatch date. After this time, we cannot accept responsibility for damage that may have occurred during delivery. You may, however, contact Royal Mail directly regarding any delivery-related concerns after this period.

Tealight holders

We recommend using artificial tealights with all tealight holders to prevent any damage to your resin product.

Turnaround times

Flower preservation is a careful, time-intensive process. Please allow up to 20 weeks from the date we receive your flowers for your finished piece to be completed and returned to you. Resin is a chemical material that must be worked within controlled temperatures this process cannot be rushed and exact timeframes can be challenging to meet without impacting on quality. Whilst we will always aim to complete your order on time, on rare occasions there may be a delay. Should this occur, we will notify you accordingly. Each piece is carefully created with patience and care, ensuring a result that’s truly worth waiting for.

Changes to your order

We are unable to make changes to an order once flowers have been cast in resin. If you contact us before production of your order, we may be able to add on items or make changes depending on how many flowers we have, however we cannot guarantee this.

Payments, Cancellations and Refunds

We operate on a minimum order value of £50.00 (excluding delivery).

Once your flowers have been received, we will contact you to review your order and collaborate with you to design your desired keepsake.

Cancellations are accepted within 24 hours of placing your order. After this period, a 20% cancellation fee will apply, as your preservation date will have been reserved exclusively for you, preventing other bookings for that date.

If you have already sent your flowers to us and decide not to go ahead with your order after paying your invoice the cancellation refund will be subject to a 50% deduction to cover the cost of admin, sorting and storage of the flowers.

We are unable to offer a refund where we have begun production, or your flowers have been cast in resin.

Flowers will only be returned to customers upon request, which must be made within 7 days of cancellation. We are unable to store flowers beyond this timeframe, and any unclaimed flowers will be disposed of if we are not notified. The cost of return postage and packaging is the customer’s responsibility and will be deducted from the refund prior to processing.

If your wedding date changes, we will reschedule your date at no extra charge.

If your event is cancelled, we offer a credit note to use towards any item online.

All our items are bespoke, and custom made, as such refunds are not issued unless there is significant damage to them.  Any items that are delivered damaged must be reported to us in writing within 24 hours of delivery along with clear photos clearly showing the damage or fault.

Important Information

For privacy and security, we only discuss order details with the person who placed the order, using the contact information provided.

All customers are asked to communicate via what’s app or email and not via social media messaging as this will enable us to ensure we are responding in a timely manner to customers with pending orders.

Under no circumstances will we tolerate threating behaviour of any kind, this will result in cancellation of your order and disposal of your flowers.
